RACI

Now you came up with your goals and decided on what the big, audacious plan is.

You set SMART goals.

You planned it out.

You mapped out the process for achieving it.

Now, we have to present this plan to the team and we have to collect all the things we need.

This isn’t the brief.

Briefing is when you go to your vendors and suppliers and get what you need. It’s when you give people who are doing sprints on your team with you everything required to complete the task at hand. You get them to confirm verbally that they are capable of completing the task given to them, with the tools you provided, to the best of their knowledge, and if that changes they will come to you immediately.

Here we’re going to go over four items.

#1 Reconfirming the itemized details

All the things that need to happen, brainstorm that. For today, we should itemize the SMART goals. On SMART goal planning day, we should just let them focus on the big picture stuff and not even bring up the itemized details.

If you got started on the itemized details, now is the time to button those up. Finalize them now that you’ve had a chance to sleep on it and think about it a little bit.

#2 RACI

Next is RACI, which stands for responsible, accountable, consulted and informed. 

This is a great little project management template tool. It helps make sure that everyone that’s involved in a project is clearly identified. No one’s confused about who needs to invest the time and who is accountable for being completed at the end of the day. 

You have to identify the people that are

RESPONSIBLE for helping get the work done,

ACCOUNTABLE at the end of the day for making sure the project is completed (which would be you),

who needs to be CONSULTED, and

who just needs to be INFORMED and told about updates as they happen.

Let’s make that list of names, and then let’s take a look at your itemized list of details. And let’s confirm the deadline at the end of the week.

#3 Execution

After today, we’re going to have three days of execution, so that’ll be fourth day from today. 

#4 Assessment

Finally, you’re going to determine how many problems you will take to complete each task item, to accomplish the goal.

Again, we’re not looking for perfection. We’re just looking for projects. We’re trying to plan it, get it out of our head on paper and then move forward.

Once you have that completed, you need to check off everybody in your RACI diagram has been contacted, briefed, given the things that they require or you’ve received everything you need, that people responsible and accountable have gotten everything that they need. Today’s the day for them to do it and get it completed.
