All right, so here we have all the tasks that we could think of that needed to be done to operate the business in terms of this perfect lead management system we could think of from start to finish
as we went through each column and broke down all the tasks that have to happen for each column to exist, essentially right so now what I did and I saved you the hassle of having to watch me do it all as I went through all these and I just grouped them in order of things I thought kind of fit together and I just put a little bit spaces below them. So you can see I put managing the phone answering phone calls, booking appointments under the same kind of group returning phone calls, text messages, how explaining things here and quickly payments since you’re already on the phone with them or texting with them, you know, you should collect that payment. And so that was some of these now, it might seem like some of these put together right off the bat but not all of them do because here under delivering Wow, we had offering subscription service falling.

With the referrals given we agreed to the firls, we’re going to be on the bottom of the quality checklist. But the person cleaning the car should maybe not be the person offering the subscription service or following up with the referral. That’s to say offering the subscription service, maybe that’s something we put on the back of the checklist. You know, and we just have mentioned it and if they don’t take it, then we have like an actual rep, call them up. Maybe because here we’ve got writing ads, getting signs created, creating the flyers, offering subscription service, calling up referrals, giving, creating monthly promotion. This is like all kind of like a marketing kind of department marketing and sales roles. If that makes sense. We’re cleaning the cars just cleaning the car, right? You could hire out the cleaning the car for a lot less than you could, having someone that knows how to do marketing and sales. So that’s where I kind of broke those out. And even up here getting the sign created and creating the flyers and writing the ads. I separated from posting the ads online. I put the posts in the ad
Online maintaining the flier and road sign routes, kind of with the supply, inventory and sourcing. So like your cleaning supplies, you know your rags, all that stuff. That’s not that’s not like a $30 an hour job. But writing ads that get people to pick up the phone and call you versus somebody else maybe is a bit more. It just takes a different skill set. That’s all right. So I broke those out and then also you’re dealing with the permits so when I my martial arts school actually got a big fine for putting a road signs which is really ironic because the city, so long story, but basically the street I was on one day I went away for a week when I came back, they shut down my entire entire street like a massive stretch of this busy main road is division street for construction, but there was no notice given to any of the businesses that the road traffic to their business would be shut off and people have to park and then walk through a construction zone to be able to reach your business. And also at the time. Road signs were major like the sign.

In front of my my business was a major place where I got traffic from people drove by saw the sign of a call. That’s part of what pushed me to even develop online marketing. So through every obstacle or difficulty is an opportunity. So the dealing with the permits thing is actually was actually a legal thing. So I put that under here that legal compliance. So that’s how I broke everything down. Now the health and safety training I realize was more of an HR thing. And if you take a look at this, ironically enough, we don’t have anything for HR in here. So for HR we need here to someone to post job ads, screen applicants, and then of course, train or onboard, onboard new recruits. Health and Safety Training and then of course, like how we do things, how we do things here training. And then of course, I would do weekly one on ones. And this is something we’re going to get into in future weeks. Once you’ve built a team, how do you keep the team performing at a certain level of expectation? When How do you justify letting someone go? Because there’s a you know, I’ve heard things that you know, like, people don’t fail systems do. And that’s partially true. It is true to a large extent, if you have good systems in place, that the people that you bring on board, everybody wants to be good at what they do. But the reality is, not everyone is born with the same skill set, and you might find, like has happened in a number of cases with clients is I’ll start doing kind of this, like, what we’ll get into later, later weeks, but on the managing the team part, you start realizing we have some people that are really skilled, but they’re in the wrong seat, like they’ve worn the wrong hat, they’re doing the wrong role. And then we’ll move them to where they can be successful. And so managing the team is really important and weekly one on ones are part of that. So this comes down to supervision, right? And that would even be things like, you know, quarterly reviews or annual reviews. So, which is a performance? review? Well, that’s part of the weekly one on one. So and we’ll get into again, there’s a specific, specific way, I recommend not just sitting down, Hey, how are you has this week but actually having documentation that you track week over week. So we also people, it gives people an opportunity to correct themselves as well as when it’s time to go oftentimes with this format, people know they’re not performing well. And they either just opt out or they apologize or it just it just takes a lot of the blame out of it. And the drama, it’s just a really good method. So we’ll get into that later. But so now you can take a look at this. And you can see we’ve kind of broken all this down into different categories. So now I’m going to give each category A title I’m just going to come along and you know, we’re just going to go this is kind of what is this? This is phones, sales and customer
Service right here we’ve got cleaning, cleaning and customer service. Yeah.Right.This is marketing and advertising. promotions, you know,
this is kind of admin, what is this? This is posting ads online, some admin work like maintenance,
sort of, like maintenance rights, upkeep, posting jobs. This is HR human resources. And now we’ve got here this is legal.Right and then of course, this is accountant. taxes and payroll. So this is counting taxes and payroll. So now what we’ve done is we’ve kind of come through and we’ve created different categories. So now when it comes time to building a team, we can now take a look at these and go alright.
First of all, which of these are the, the biggest priority for the owner? To manage? Right? So if you’re, if you’re a sole proprietor at this point, and you’re taking a look at hiring people who you hire, you know, what’s some of the most important high value stuff? What do you not like doing? What do you like doing? At least now you can make the decisions, you can put $1 value to some of this stuff, right? Like, again, the supply inventory, maintain the flyer roadside posting ads online, that’s not going to be your highest paying
position, right. So get out of doing that work. If you want to be making $100 an hour. Don’t do minimum wage work, hire someone else. Have them do that. There’s lots of people that are often looking just for a few hours a week. That would be happy to take over this sort of stuff.
